Positions
Job Title: Administrative Assistant (Part-Time, Contract-to-Hire)
Organization: FiAt Productions
Location: Redfield Barn, 2356 E Redfield Rd, Gilbert, AZ, United States
Position Type: Contract, Paid
Schedule: Monday through Friday, 10:00 AM – 2:30 PM (30-minute lunch)
Some flexibility in hours, times, and days. This role is best performed in person.

Job Summary:
The Administrative Assistant works directly with the FiAt Productions CEO, Co-Founders, Directors, contract teachers, coordinators, and volunteers to provide essential administrative support and coordination for classes and activities offered by FiAt Productions.
Reports To:
CEO, FiAt Productions
Key Responsibilities:

Answer and manage phone calls and general emails

Run and maintain class roster reports

Audit payments and respond to ESA receipt requests
-
Maintain communication with teachers and volunteers
-
Assist in planning logistics and space usage
-
Record keeping and data entry
-
Post to social media platforms
-
Schedule meetings and events
-
Prepare emergency binders and sign-in/sign-out sheets
-
Draft and assist with email communications and newsletters

Manage participant data (contact info, allergies, t-shirt sizes, etc.)

Track teacher/leader and participant absences or conflicts
-
May assist with class check-in/check-out as needed
Note: This list is not exhaustive. Additional duties may be assigned.
Qualifications & Requirements:

In good standing with The Church
-
Completion of Diocese of Phoenix Safe Environment Training
-
Alignment with FiAt Productions’ mission and values
-
Ability to work independently and take initiative
-
Strong computer and software proficiency (email, spreadsheets, shared documents)

Comfortable with copiers, phones, and internet tools
-
Must provide a W-9 with legal name, SSN, and address

Signed contract agreement required
